Swimcloud places a strong emphasis on maintaining accurate and reliable data. We do this by respecting and maintaining the data submitted to us in a meet result file. However, if a meet result file is submitted with an incorrect date, it can cause issues for the times database.
When you upload a meet result file to a meet you created on Swimcloud, Swimcloud displays the meet on your team's page and the region page using the meet date that was originally set (the one you told us). However, if the result file itself contains a different or incorrect date, this can affect where the swimmer's results appear. As a result, those results might not show up correctly in the team’s or region’s season view.
Below is an example of a meet with a date of 9/12/24 but the result file has a date of 9/20/22. In this instance, Swimcloud displayed this meet on the Team and Region page in the 2024-25 season. However, the swimmer's times were shown on the Team and Region page for the 2022-23 season.
How do I avoid this?
If you are using Swimcloud's meet manager, this wouldn't be a problem.
If you are using Hy-Tek Meet Manager make sure that you don't reuse meets. It is best practice to make a new meet every time you run a meet. Please ensure that the date and course settings for this meet are correct.
Run your meet and submit your results to Swimcloud as usual.
How do I fix it?
To fix this, the meet administrator will need to correct the date in Hy-Tek Meet Manager:
- Open the meet in Hy-Tek Meet Manager.
- Go into the Meet Setup Dialogue box.
- Check that the dates in the middle of the dialogue box match the actual meet dates.
Once you've corrected the date:
- Export a new result file.
- Re-upload this new file to the meet on Swimcloud and process it again.
