Swimcloud is a shared, neutral database used by coaches, athletes, regions, and governing bodies. To protect data integrity and competitive fairness, Swimcloud requires a complete set of meet results that includes all teams and all events from the meet.
Submitting partial results (for example, results from only one team) can lead to:
Inaccurate rankings and leaderboards
Missing or incorrect relay results
Incomplete team scoring
Conflicting or duplicate meet records
For this reason, Swimcloud processes complete meet exports only, unless the meet was explicitly set up as an intrasquad.
TL;DR: Swimcloud only accepts complete meet results that include all teams. Results must be submitted directly to Swimcloud—either automatically through Swimcloud Meet Manager, by uploading to the meet, or by emailing a full results file.
How to Export Results from Hy-Tek Meet Manager

Common Scenarios
Scenario 1: I only exported results for my team
For multi-team meets, Swimcloud requires a single, complete results export that includes all participating teams and events. Single-team result files cannot be processed for shared meets.
Solution: Contact the meet host or meet administrator and request a complete meet export from Hy-Tek Meet Manager.
Scenario 2: This was an intrasquad meet
Intrasquad meets are handled differently than multi-team meets. Results can be processed even though only one team participated.
Important: Intrasquad results are visible only to your team and do not count toward rankings, records, or meet entries.
Scenario 3: The meet had multiple sessions
Exporting results before all sessions are complete can result in missing events, relays, or team scores.
Solution: Wait until all sessions are finished, then export one complete results file from Hy-Tek Meet Manager.
Scenario 4: I’m not sure if my exported result file is complete
A complete export result file should include all swimmers, teams, relays, splits, and events from the meet. Partial or modified files may cause processing issues.
Solution: Re-export the results using the recommended settings above and submit the full .zip file.
Scenario 5: I’m not the meet administrator
Coaches often do not have access to export full meet results, especially if they are not hosting the meet.
Solution: Coordinate with the meet administrator or host team and ask them to export and submit the complete results file.
Scenario 6: I’m still not sure what went wrong
Some result files require additional review due to meet setup issues, team mismatches, or export configuration problems.
Solution: Submit the file anyway and include any context you have. Swimcloud staff will review the export and follow up if anything else is needed.
