Swimcloud is designed to read and process Hy-Tek meet result files. However, the old saying still applies: "Garbage in, garbage out."
If your meet data isn’t set up correctly, the results may not upload to Swimcloud promptly — or they may appear in the wrong place or wrong season.
Follow these best practices when setting up your meet in Hy-Tek Meet Manager to ensure smooth and accurate uploads:
1. Start Fresh for Each Meet
Always create a new meet database — never reuse an old meet database and overwrite results.
You should have one database per meet.
Reusing an old meet file can cause date, location, and team data errors.
2. If Your Meet Has Diving
Make sure the diving event is set up with the correct number of dives.

Export Hy-Tek Result File:
Go to File → Export → Results for Team Manager or SWIMS or NCAA or USMA (this is the first menu item in the export sub-dialog).
Export the complete meet result file.
Email the file to results@swimcloud.com or upload it directly to the meet on Swimcloud (see below).

3. Double-Check Meet Details
These settings are found in Set-up → Meet Set-up in Hy-Tek. Make sure all of these data fields are correct before your meet begins:
Meet Name — Be as descriptive as possible.
Facility — Name of the pool or venue.
Location — Ensure City, State, Postal Code, and Country are correct.
Dates — Correct start and end dates are essential. Wrong dates can place results in the wrong Swimcloud season.
ID Format — Usually set to USAS - USA Swimming.
Base Country — Typically USA.

Altitude — If your meet is held at 3,000 ft (914 m) or higher, enter the value here.
Swimcloud will automatically apply USA Swimming/NCAA/NFHS altitude adjustments.

Adjustment ranges:
3,000–4,250 ft (914–1,295 m) → small adjustment
4,251–6,500 ft (1,296–1,981 m) → moderate adjustment
6,501 ft+ (1,982 m+) → largest adjustment

Class — Used by Swimcloud to match teams:
High School
College
Age Group (USA Swimming, YMCA, AAU, and Middle School — use “Age Group” for these)
Meet Type and Meet Style — These define how Hy-Tek scores your meet but do not affect Swimcloud uploads

Course — SCY, LCM, or SCM. This is critically important for the results to be accurate
4. Verify Team Information
Check that team addresses are accurate.
For high school meets, this data is edited in the Schools menu (upper menu bar).
Correct addresses help Swimcloud match results to the right teams.
5. Submit Completed Result Files to Swimcloud

The fastest and most accurate method:
If you are the meet administrator on Swimcloud, go to the FILES tab of your meet, click Upload File, and follow the prompts.

If your meet includes diving:
Export a complete zipped result file (as described above) and either upload it to the meet in Swimcloud or email it to results@swimcloud.com.
‼️ Important: Hy-Tek Meet Manager creates a zipped result file containing two files that Swimcloud needs to properly parse your meet results. Always send the complete zipped file.

Before uploading your zipped Hy-Tek result file to Swimcloud, confirm that:
✅ You created a new meet database for this event (no reused files).
✅ The meet location is correct, including state and country.
✅ The meet dates are accurate so results appear in the correct season.
✅ The meet class is correct (College / High School / Age Group).
✅ The course (SCY, LCM, or SCM) matches the pool used.
✅ All team addresses are accurate and complete.
✅ Scoring looks correct in Hy-Tek (note: formatting may vary slightly in Swimcloud).
✅ You are uploading the complete zipped result file created by Hy-Tek.
