Keeping your coaching staff up to date is essential for smooth meet entries, clear communication, and accurate team management. Whether you’re leading one team or managing several, Swimcloud gives you the tools to stay organized and in control—all without needing to contact support.
What You’ll Need
You must be a registered coach for your team and logged into Swimcloud.
How to Manage Your Coaching Staff

From your team's main page, click Manage.

Click on the Coaches tab.
💡 Tip: From the Coaches tab, you’ll see a full list of staff along with their roles, permissions, and profile status. Use the icons on the right to edit or remove staff.
➕ Add a Coach

Click + Staff.

Enter the coach’s name, then click next

Enter a valid email address if it's not populated already.

Click Add (lower right corner).
The coach will receive an email with a verification link. They have 24 hours to activate their account by clicking that link.
✏️ Update Coach Info
Click the clipboard icon under the coach’s name to update their details. Be sure to click the Update coach button to save changes.
🗑️ Remove a Coach
Click the trash can icon next to their name to remove them from your team page.
💡Tip: From the Coaches tab, you’ll see a full list of staff, along with their roles, permissions, and status. Use the icons on the right to make updates quickly.
Managing Multiple Teams
Are you coaching more than one team? Swimcloud now makes it easy to manage all your teams from a single coach account—no need to contact support.
🧩 Join Another Team, or add an existing Swimcloud coach to your team
To add another team to your Swimcloud login:

Ask an existing coach from that team to follow the steps above and add you as a staff member.

As long as your Swimcloud account is active, you'll be able to log in and manage all teams you're added to—no need to create separate accounts.
🔄 Switching Between Teams
To switch teams:

Click your avatar (top right corner of the screen).

Select the team you want to manage during that session.
Once selected, you’ll see that team’s dashboard, roster, schedule, and more.
