When entering swimmers into a high school swim meet using Swimcloud, it’s important to understand how event designations work. These designations ensure proper athlete placement while allowing flexibility for meet administrators and coaches.
Event Designations in Swimcloud
1. OPEN Events

Any swimmer listed on the team’s meet roster (marked as attending on the SWIMMER tab) may enter.

Swimmers marked as JV or VARSITY on the meet roster may still enter OPEN events.

When a swimmer is marked as attending the meet, OPEN is the default designation unless the coach selects JV or VARSITY.
2. VARSITY Events

Only swimmers designated as VARSITY (VAR) or OPEN on the meet roster can enter Varsity-designated events without a warning message.
3. JV (Junior Varsity) Events

Only swimmers designated as Junior Varsity (JV) or OPEN on the meet roster can enter JV-designated events without a warning message.
Toggling Event Eligibility in Swimcloud
Swimcloud provides a tool to help coaches manage event entries efficiently:
✔ Show Eligible Events Toggle:

When ON, Swimcloud will only display events the swimmer is eligible for based on their Open/Varsity/JV designation on the Swimmer tab (meet roster)

When OFF, all meet events will be visible, allowing a coach to enter swimmers in events outside of their designation.
- Please note the sort arrows on the Session, Number, and Event columns. Clicking these arrows will re-sort your view.
✔ Warnings for Eligibility Conflicts:

If a coach enters a swimmer into an event that does not match their roster designation, Swimcloud will display a warning message.

This alert helps the coach or meet administrator ensure compliance with meet rules and eligibility requirements.
Best Practices for Coaches
✅ Confirm swimmer designations on the Swimmer tab before finalizing entries.
✅ Use the "Show Eligible Events" toggle to simplify the entry process.
✅ Correct your entries if a warning message appears.
