Swimcloud automatically updates swimmer and team results when we receive an official meet result file from a meet administrator or coach. When official results aren’t submitted, swimmers may be missing swims on Swimcloud.
This article explains why manual times exist, who can enter them, how to do it, and how they are used.
Why Swimcloud Allows Manual Times
Swimcloud can only publish and verify results that are submitted to us. If a meet host doesn’t submit results, Swimcloud has no way to automatically process them.
Manual entry exists so swimmers can still:
Keep their Swimcloud profile up to date
Maintain recruiting visibility when official files aren’t available
Important: Manual entry is not a substitute for submitting official results. We strongly encourage meet administrators and coaches to submit official meet result files to Swimcloud whenever possible.
Who Can Manually Enter Times
Only swimmers who have claimed their Swimcloud swimmer profile can manually enter times
Coaches, parents, and administrators cannot enter times for a swimmer
Before You Enter Times Manually
Find the meet on Swimcloud and check its status
Not Submitted: Swimcloud has not received results — ask the meet host/coach to submit the official result file
Completed but missing swims: you may have a name mismatch or duplicate profile — email support@swimcloud.com with links
Can’t find the meet: results have not been submitted to Swimcloud. Give coaches and meet administrators a few days to submit the official results for processing. If the meet doesn't show up, create the meet manually and enter your times.
👉 Please note: If you create a meet and manually enter your results, and Swimcloud receives the official result file, Swimcloud will overwrite your manually entered times with the official times.
How to Manually Enter Times

Go to your swimmer profile and click Meets
Click the + Add meet button
Enter the meet details in the following dialogue boxes
During meet creation, Swimcloud will show similar meets near the same location/date
Select the event and enter your results carefully
Manual Entry Rules (Read This)
Do not enter converted times (Swimcloud converts automatically)
Do not enter relay splits

This violates our Terms of Service
Profiles with falsified results will be suspended and coaches will be notified
If you make a mistake, delete the incorrect time and re-enter it.
How Manually Entered Times Are Used
Manually entered times:
✅ Appear on the swimmer’s public profile
✅ Count toward the swimmer’s Recruiting Power Index (RPI)
✅ May be used in recruit rankings
Manually entered times are never used for:
❌ Team rankings
❌ Regional rankings
❌ Public top-times lists
❌ Time-standard tags / qualification markings
Common Scenarios & FAQs — Manually Entered Times
Scenario 1: My times are missing from Swimcloud
In most cases, Swimcloud has not received the official meet result file. If the meet status shows Not Submitted, ask the meet host or coach to submit the results. Swimcloud cannot publish results we don’t receive.
Scenario 2: My times are in SWIMS, but not on Swimcloud
Swimcloud does not sync with USA Swimming’s SWIMS database. Even if results appear in SWIMS, the meet administrator or coach must submit the official result file directly to Swimcloud for those times to appear.
Scenario 3: The meet is marked “Completed,” but some of my swims are missing
This is often caused by a name mismatch or a duplicate swimmer profile. If you believe this is the case, email support@swimcloud.com with links to both profiles so they can be merged.
Scenario 4: I manually entered my times, but they aren’t showing up in team or regional rankings
Manually entered times are never used for team rankings, regional rankings, or public top-times lists. They will appear on your swimmer profile and may be used for recruiting metrics, but official rankings only use verified meet result files.
Scenario 5: I can’t find my meet on Swimcloud
If a meet does not appear in search results, Swimcloud has not received official results for that meet. You may manually enter your times, but we strongly encourage asking the meet administrator or coach to submit the official result file.
Scenario 6: Should I create a new meet to enter my times?
Only create a new meet if it truly does not already exist. During meet creation, Swimcloud will show a list of similar meets near the same date and location. Creating duplicate meets can cause confusion and delays.
Scenario 7: Can my coach, parent, or admin enter times for me?
No. Only swimmers who have claimed their Swimcloud swimmer profile can manually enter times. Coaches, parents, and administrators cannot enter times on a swimmer’s behalf.
Scenario 8: Can I manually enter relay splits?
No. Relay splits must come from an official meet result file and cannot be manually entered.
Scenario 9: What happens if someone enters fake or inaccurate times?
Entering false results is a violation of Swimcloud’s Terms of Service. Profiles with falsified times will be suspended, and coaches will be notified. Swimcloud actively enforces this policy.
Scenario 10: Why doesn’t Swimcloud just accept screenshots or proof of times?
Swimcloud only accepts official meet result data files so that rankings, leaderboards, and records remain accurate and fair. Screenshots, photos, or other evidence cannot be verified and are not accepted.
Scenario 11: What’s the best way to avoid needing manual entry?
Ensure that meet administrators and coaches submit official meet result files to Swimcloud after every meet. This is the only way results can be used for rankings, leaderboards, and time standards.
